This policy explains what ActaThread processes during the founding beta, why it is needed, and the choices available to you.

1. Information we collect
When you request beta access, we collect the name, email address, role, use case, language preference, and consent you submit. The website and hosting provider may also process basic technical information needed for security, availability, and diagnostics.
2. Desktop application data
ActaThread stores its project records, meeting transcripts, answers, decisions, and actions on your Windows computer. Your OpenAI API key is protected using Windows secure storage and is not submitted through this website.
To provide transcription and AI answers, the application sends the necessary audio, transcript excerpts, prompts, and relevant excerpts from the project folders you selected to OpenAI using your API key. OpenAI's own terms and privacy policy apply to that processing.
3. How we use beta data
We use beta application information to evaluate requests, send invitations and setup instructions, provide support, understand product fit, and improve ActaThread. We do not sell beta applicant information.
4. Your choices and responsibilities
Only select project folders and record meetings you are authorized to process. Tell meeting participants when applicable and follow the privacy, employment, confidentiality, and recording laws that apply to you.
You may request access, correction, or deletion of the beta application data by replying to any ActaThread beta communication or by submitting the request through the beta form with a clear explanation.
5. Retention, security, and changes
We retain beta application information while the beta is active and for as long as reasonably necessary to operate, secure, and evaluate it. We use reasonable safeguards, but no system is completely secure. This policy may be updated as the product and its infrastructure evolve; the date above identifies the current version.
